Your personal information is protected by law, including the Privacy Act 1988 (Privacy Act) and the Australian Privacy Principles (APPs), which regulate how entities may collect, use, disclose and store personal information.

Personal information is defined in section 6(1) of the Privacy Act to mean information or an opinion about an identified individual, (or an individual who is reasonably identifiable) whether the information or opinion is true or not, and whether the information or opinion is recorded in a material form or not. 

The Department of Industry, Science and Resources (‘Department’/‘we’) will collect your personal information where it is reasonably necessary for or directly related to the performance of our functions or activities.

The Prime Minister's Prizes for Science

How collection occurs

We collect personal information when you RSVP to the Prime Minister’s Prizes for Science (‘the Prizes’) presentation dinner at Parliament House.

We may collect additional information from prize recipients to facilitate program and event delivery.

During this event, we and our contracted service providers may capture photographs, video and audio recordings. Your image or voice may be recorded and you may be identifiable. 

We are using contact details you have provided in respect of your attendance at a previous Prizes event for the purpose of managing your attendance and participation in the current event. This secondary use of your personal information is in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). 

Types of personal information collected

We may collect your:

  • name
  • contact details (email, phone)
  • organisation and position
  • dietary and/or accessibility requirements (which may reveal health or religious information)
  • photographs, video or audio recordings taken during the event
  • other information relevant to your attendance.

We may also collect the following personal information from prize recipients:

  • address
  • voting electorate
  • work experience, research/teaching and its application
  • bank details.

Use and disclosure of your personal information

We may use or disclose your personal information to:

  • organise, deliver and promote the Prizes and associated events
  • promote the department’s or Parliament House’s events
  • publish photographs and recordings on websites, social media or other promotional material
  • promote public awareness and appreciation of the role and importance of science, innovation, technology, engineering and mathematics or science education in Australian society
  • support Commonwealth initiatives relating to science, innovation, technology, engineering and mathematics or science education.
  • promote related Commonwealth policies, programs and initiatives
  • provide prize recipients with photographs and video/audio recordings for personal or professional use
  • comply with applicable laws and program requirements.

Disclosure to third parties

We may share your personal information with:

  • other Commonwealth Government agencies and ministers and their offices
  • Parliament House event staff, including for catering or accessibility logistics
  • media organisations
  • your federal electorate MP (for prize recipients only)
  • the public (e.g. via online publication)
  • overseas recipients (where materials are published online).

Your personal information, including images and recordings, may appear in promotional material such as websites, television, radio, podcasts, social media and multimedia presentations.

If your personal information is published online, the department will have limited or no control over its subsequent use and disclosure.

We will not otherwise use or disclose your personal information unless authorised or required by law.

Not providing your personal information

If you do not provide your personal information:

  • You may not be able to attend or fully participate in the event
  • We may not be able to meet accessibility or dietary needs
  • You may be excluded from group photos or recordings
  • Prize recipients may receive limited public recognition if key information is withheld.
