We designed the new system with project proponents in mind. It’s built on Microsoft Power Platform, with improved functionality that provides a better user experience.

The new system offers a more streamlined and efficient way to:

  • submit major project notifications
  • develop and submit draft AIP plans
  • provide compliance reporting under the Australian Jobs Act 2013.

The AIP will start decommissioning the SmartForms system from early May.

We want a smooth transition so proponents with an AIP plan can continue compliance reporting without disruption once the new system goes live.

To support this, our Case Officers have contacted proponents that need to submit a replacement draft AIP plan in the updated SmartForms. The AIP Authority will automatically transfer projects and plans that are in the updated SmartForm to the new system. If you have not been contacted, your plan is already in the updated SmartForm and will automatically be transferred.

If you haven’t done so already, we recommend you start now, as replacement plans in the SmartForm system need to be done by 30 April 2026.

This updated version of the SmartForm is much quicker and easier to use than the old one.

This transition does not change AIP policy requirements, contractual obligations or reporting timeframes. Existing legislative AIP commitments and responsibilities for project proponents remain the same.

Have your existing approved AIP plan in front of you, so you can use this information to create your replacement plan in the updated SmartForm. 

The AIP Authority will give you a link. This will redirect you to the updated SmartForm, where you can select ‘Redo AIP Plan’.

You will be creating a replacement draft AIP plan. In most cases, it will be a streamlined update of your existing approved AIP plan. You can review and update your project description and key goods and services, if needed.

If you submit a replacement draft AIP plan in SmartForms before 30 April, the AIP Authority team will set up your plan in the new system. You will then be able to start entering your compliance reporting.

If you’re unable to submit a replacement draft AIP plan in the updated SmartForm by 30 April 2026, you’ll need to prepare and submit a replacement plan in the new system.

The timing of the rollout may give you less time to complete the transition.

If your compliance report is due soon, it’s important to plan ahead and consider:

  • The AIP Authority must approve your replacement draft plan before you can start compliance reporting in the new system.
  • There’s a legal requirement to submit your compliance report within 3 months of the end of each reporting period.
  • If you submit outside of this legislative timeframe, you’ll be found non-compliant.

The SmartForms system will be no longer be available after 15 May 2026.

Access to the new system will be via our department's system behind an authentication wall, with 2-factor authentication available.
